Cheat Sheet for Casting Professionals

We are convinced that, with e-TALENTA, you will lack nothing to successfully cast your project. With us, you will find everything in one place: a comprehensive database of professional actors and actresses and innovative features that allow time for creativity.

In this cheat sheet you will find many typical case studies and questions, as well as short and precise answers on how to make the most of your account. We have also provided short explanatory videos for many questions.

Use our extensive search tool. You can use it to search our database of currently 70.000 professional actors and actresses. You can do simple or complex searches and save interesting people in a role of a project – all this is, of course, visible only to you.

You can use the search tool and include, for example, the criteria “Place of Residence” in the search form and select “Germany”. You can also use the search criteria language skills with “German mother tongue” – or both.

To do this, please create a project and a role (one title is sufficient in each case). You can then save each person, e.g. from the search, in the role and then have your suggestions available at any time in a clearly organised list. No one is informed when you save them in your lists.

When you create a project on e-TALENTA, this is automatically only visible to you and your permanent team members in your organisation (e.g. your casting assistant). You can find your permanent team members under “Setup” -> “Default settings”.

In the project details, you can also specify that only you and not your permanent team members should have access to a specific project. Simply deactivate the checkbox “Access granted for everyone in my organisation”.

Actors, actresses, agents or other members can not see your projects and all associated information unless you explicitly invite them to do so or create a casting.

In this case, it is best if you create your own project, e.g. “Interesting actors” and at least one role there. Save all interesting actors in this project.

You can then also search for actors in this or other projects in the search (see click tutorial).

We have introduced rounds for this purpose. You can create several rounds for each role and move your proposals from e.g. “Research” to “Preselection” to the “Casting invitation” or “Final selection” round. You can name each round individually.

To do this, use the “Flags” above the photo in the list. You can define individual flags for each project, with a title and colour selection. You can also mark a person with several flags and you can filter according to the flags, e.g. to only display people with the status “Available” or “Fee confirmed”.

Just go to “e-SEARCH” -> “Photo similarity search”, upload a photo of the person and our system will show you similar-looking actors.

There are several options here: use the internal messaging network or the contact details provided and ask the person to complete the profile. You can also use the “Profile Check” button and leave a message. This information will be sent to our editorial team and we will organise the requested material in cooperation with the agency or the actor.

If you need to do this quickly, you can create the person via “Menu” -> “Profiles created by me”. The person can then be found permanently in your archive and in the search, they can be added to projects, etc.

We are also happy to help here. Contact our editorial team (info@e-talenta.eu) and we will create a profile with current data together with the actor/agency.

You can save notes and even create tasks for each actor. These are saved permanently and are only visible to you. You can also search your notes through the search tool.

If you need additional data fields to store your own information in addition to the notes, just contact us – this is also possible.

In the list, click on “Request unavailable dates” under “Contact”. If you can, describe the project and specify the period for which you would like to receive their availability. The answer appears in the “Unavailable dates” box. To get an overview of the availability situation, you can transfer the answer to the unavailable dates field and switch between white, green and red by clicking on the square.

If you have saved an actor as an idea/suggestion in a role, you can send them or their agent a message via internal messaging network and click on the option “Request self tape”. You can also write a message in the text field and add the scene as an attachment. The actor/agent will then receive an invitation to upload a video for you. The video will appear directly in the “Media” box. This saves you any detours via WeTransfer, email, etc.

If you would like to contact several people, simply use the “group mail” function.

You can upload videos for each person, which will then be part of your personal video archive. These can only be viewed by you and the permanent team members in your organisation, as well as by people you explicitly invite to a presentation or project.

By the way: your operator in the casting studio can also upload the scenes directly to your archive via a special upload link. To do this, click on “Media” in the list. You will then find the link at the end of the small window.

You can upload photos and videos to each profile. These are only visible to you and your permanent team members in your organisation, as well as to people you explicitly invite to a presentation or project.

In this way, you can add your own media to the public showreels and photos and build up a comprehensive, personal archive on e-TALENTA.

To do this, use the “Presentation” function in the project. Select a template (this determines what is shown in the presentation), select the roles whose proposals should appear in the presentation. If you wish, you can also enter an expiry date and a welcome text and customise the sorting.

You determine the current cast via the “Flags” in the list. Click on “Flags” and then on “mark as cast”. In the presentation, select the roles whose current cast should to be included. The person marked as cast is then shown at the top of the presentation.

Click on “Media” in the list and then on “Edit” under “Photos”. Here you can set a new photo as the main image, hide individual photos completely or upload new photos. This only applies to the current project.

You can create as many of your own presentation templates as you like or freely edit our preset templates. Click on “Setup” -> “Default settings” and then on “Templates for project presentation”. For each template, you can now specify which information should be shown in which column. We would be happy to set this up with you, just get in touch with us!

The best way to do this is through a casting call. You can decide what information you want to publish. You can define precise requirements for each role. Only actors who fulfil these requirements can submit. They see all the information provided beforehand and, after checking the pay level, shooting period, project information etc. they can submit themselves, if they are interested. You therefore receive suitable submissions only from interested actors, without having to contact each one individually. You can also request unavailable dates and a self-tape in this step, if necessary.

You can also create a casting call that is not public. To do this, deactivate the “Publish on the platform” button when creating a casting. You will then receive a private link that you can, for example, forward by email. This way, you provide selected actors or agencies with information about the project and allow them to make suggestions. You can then work on the platform again as usual.

Use the “group mail” function to send the same message to several recipients. To personalise your messages, you can use the following variables, which are automatically replaced when the message is sent: [NAME] – Name of the recipient [ROLE] – Title of the role [PROJECT] – Title of the project. The variables must be written in capital letters and with square brackets as specified.
Please remember to activate the corresponding checkbox if your message is a self-tape or unavailability request.

Good to know:

  • Our editorial team regularly checks actors’ profiles, actively reminds them to update their data and provides support with data maintenance.
  • Many fields in the search tool support multiple selection. For example, you can search for actors who live in Germany OR Austria or for actors who speak German as their mother tongue AND English fluently.
  • The basis for many features is a project. It is therefore best to start by creating a project with at least one role. You can then use all the functions of the project organisation for the actors saved there. You can save frequently used “Rounds” under “Setup” -> “Default settings”. These are then used for all new roles and can still be customised for each role.
  • You can also save frequently used flags under the default settings. These flags are then automatically available for every new project. Nevertheless, you can of course customise them individually for each project at a later date.
  • A public casting call makes the casting process more transparent for everyone involved. Our editorial team helps with the creation and our customer service helps the agencies and actors with the submission process. Casting directors keep telling us about inspiring suggestions they found and are enthusiastic about the fast workflow. You also receive submissions from actors who already know the shooting dates, fee etc. and are interested in the project.
